Job Descriptions for Officers and Commissioners
President
- Responsible for improving the quality of all activities within the parish CYO program, through obtaining input, exploring suggestions, and establishing policies with the support of the CYO members
- Provide and prepare programs that will offer the best experience for our children to learn and grow
- Responsible for coordinating meetings for the CYO
- Assisting the commissioners in operations
- Manage with the treasurer to ensure that each program has sufficient funding to cover their seasonal expenses
- Oversee fund raising activities to supplement any shortfalls
- Represent parish at District CYO meetings
Vice President
- Assume the responsibilities described above in the absence of the president
- Assist in the decision making process
- Responsible for communications "getting the word out", via CYO web site, parish bulletin or newsletter (Wildcat Tracks).
Treasurer
- Maintain a general ledger and details of transactions journal for all income and expenses
- Accept all requests for purchases
- Disburse checks to the commissioners
- Receive and account for all income and receipts received and deposit in CYO account
- Make available the details of accounting to be posted on the CYO internet page on a monthly basis
Secretary
- Keeps official meeting minutes
- Working with VP to 'get word out'
- Interface with Commissioners and Coaches to improve communication, including publicizing CYO events and results in weekly bulletin
- Storing official documents: keeping log of Family Pledge forms, permission forms, and other official documents
Commissioners
- Manage and grow the related activity
- Seek out ways to improve the quality of the program
- Responsible for managing and filling coaching positions
- Communicate scheduling and enrollment to all participants
- Balance expenses and income
- Collect documentation required by the activities, parish and/or supervising authority
- Communicate activities to CYO members at meetings
